September team meeting

Team meetings are an important part of Absolute. We use these to relay vital information as well as to discuss any concerns or opinions our team may have. The September team meeting took place within the AHPL office on Monday, 29th September 2025. The Jammie Dodgers proved to be the biscuit of choice this month!

Communication

  • Availability – why giving set availability is vital for us to be able to schedule client visits and ensure everyone has work-life balance.
  •  Absence reporting – a reminder on how to report an absence or if you are running late so we can ensure a wraparound service for clients. 
  • On Call – We have an on call phone service to ensure that absences and emergencies can be dealt with, even outside of office hours. We gave the team a reminder on when, and how, on call should be used.

Safeguarding

  • Spot audits and incident forms – a reminder to complete these forms and email them over immediately. Incidents should be reported to the office or on call so they can be managed urgently. Paper copies must also be brought into the office. We use a multi-touch approach to ensure nothing gets missed. The initial electronic copy allows us to act on information when it is first known, rather than having to wait for the physical form.
  • Reporting concerns – we encourage our team to report any and all concerns to us. Our mindset is that we would rather a report turns out to be nothing than for it to be left and turn out to be something. All of the Absolute team know they can report any concerns to Louise, Michael, Hayley, Rachel, or Verity.
  • Care notes – we discussed the paper and digital care notes that our staff complete at each visit. We have asked for more detail in each to really paint a picture of each client’s day.

Clients

The client section of the team meeting allows all present to discuss any concerns they may have, as well as to figure out different ways of working. 

We assign a team of staff to a client to ensure there is cover in the event of absences. Therefore, team meetings can be used to figure out how to improve a client’s care, as well as how to build on that working relationship. 

If there are any upcoming changes to a client’s care plan, this can also be discussed. 

Other business

  • Blackout period – we have a blackout period for annual leave between 21st December and 2nd January. During this time no one is allowed to book annual leave, regardless of their position. This allows us to divide the work fairly over the holiday period. We try to give people any requested time where possible, but expect everyone to do their fair share over Christmas and New Year so that client needs are still met and everyone can enjoy the holiday season.
  • Staff training – we are proud to say that our team are all on top of their training with NO expired modules. Well done everyone!

Awareness

  • Safe driving – as the weather changes, the roads can get icy or slippery. We discussed safe driving both when working and during leisure time. Within this, we also talked about keeping emergency supplies in your vehicle, planning ahead of time, and taking daylight into account.
  • Flu vaccination – our team are eligible for free flu vaccinations from 1st October. We encourage them to receive a vaccine to help protect against illness.
